Resource Management in Microsoft Project 2024

Types of Resources
Project 2024 supports three types of resources. Work resources are people or equipment assigned to tasks based on time (hours, days, weeks). Examples include team members, contractors, and machines. Cost resources represent fixed costs not tied to time or quantity, such as travel expenses, permits, or venue rentals.
The Resource Sheet
The Resource Sheet is your central hub for managing all project resources. Define each resource with their name, type, cost rate (standard and overtime), availability calendar, working hours, and maximum allocation percentage. For team members, you can specify their standard hourly rate, overtime rate, and the percentage of their time available to your project.
Assigning Resources to Tasks
Assign resources to tasks directly in the Gantt Chart view, the Task Form, or the Assign Resources dialog. Specify the units (percentage of allocation) for each assignment. Project 2024 automatically calculates the work required based on the task duration and resource allocation. You can assign multiple resources to a single task, and the scheduling engine adjusts accordingly.
Resource Leveling
When team members are over-allocated (assigned more work than they can handle), Project 2024's resource leveling feature automatically resolves conflicts. The leveling engine delays tasks to eliminate over-allocation while respecting task dependencies and priorities. You can level specific resources, set leveling options, and review the results before accepting changes.
Resource Usage View
The Resource Usage view shows exactly how each resource's time is allocated across all tasks. Hours are displayed in a timescale grid, making it easy to identify periods of over-allocation (shown in red) and under-utilization. This view is essential for workload balancing and capacity planning.
Team Planner View
The Team Planner view provides a visual, drag-and-drop interface for managing resource assignments. Each team member appears in a row with their tasks displayed as bars on a timeline. Drag tasks between team members to reassign work, or move tasks along the timeline to reschedule. Unassigned tasks appear at the bottom, ready to be assigned.
Cost Tracking
Project 2024 tracks costs automatically based on resource rates and assignments. View planned costs, actual costs, and remaining costs at the task, resource, or project level. Budget tracking features compare planned costs against baseline budgets, highlighting cost variances that need attention. Earned Value Analysis provides standardized metrics for cost and schedule performance.
